Assigning and Reassigning Courses to Users

Assigning a Course to Users

Once a course is created and ready to launch, it needs to be assigned to employees. There are several ways to do this:

  1. through the user list

  2. from a specific user's card

  3. from the course analytics page

If, when assigning a course, the system identifies users to whom the course was previously assigned, it will offer to reassign this course to those users (more details in the "Reassigning a Course" section below).


Method 1. Assign a course to one or more users through the user list

  1. Open the "Users" section in the left menu.

  2. Check the boxes next to the required employees. A counter "Selected: N out of M" and an "Assign course" button will appear in the header row.

  3. Click "Assign course" — an assignment window will open with the names of the selected users.

  4. Select the course(s) from the "Available courses" drop-down list.

  5. Configure the parameters (more details in the "Assignment Parameters" section below).

  6. Click "Assign course".

Method 2. Assign a course to a single user from their card

  1. Open the "Users" section, find the required employee, and click on their name.

  2. On the "User Details" page, either click the "Assign activity" button, then "Assign course", or go to the "Courses" tab (or click "Show all" in the "Courses" block).

  3. In the top right corner, click "Assign course".

  4. Select a course and configure the parameters — the same as for mass assignment.

  5. Click "Assign course".

Method 3. Assign a course to one or more users from the course analytics page

  1. Open the "Courses" section in the left menu.

  2. Select a course, click on <...>, and choose the "Analytics" option.

  3. On the course details page, click the "Add participant" button.

  4. Select the required user and click "Add" or filter the users and click "Add all".

Assignment Parameters

  • Assignment Settings

    • Once — the course is assigned a single time

    • Periodically — the course will automatically be reassigned after completion:

      • "Individually" — X days after completion (default is 30),

      • "Fixed date" — on a specific day of the week / month / year.

Deadline type:

  • "From course settings" — takes the deadline from the course settings itself

  • "Individual deadline" — set the number of days from the moment of assignment

  • "Fixed deadline" — a specific date

  • "Open-ended" — no time limit.

  • Deadline auto-start

    • If enabled, the deadline countdown starts automatically from the moment of assignment

    • If disabled — the deadline starts manually or by another trigger.

  • Send notification (enabled by default): The user receives an email with a login link and information about the assigned course. If not needed, disable it before assigning.

Reassigning a Course

If a user has already completed or is currently taking a given course, but it needs to be "restarted" — use reassignment. The possibility and parameters of reassignment are determined depending on the user's current status in this course.

  • If the current status is "Completed", "Excluded", or "Deleted", reassignment is possible without restrictions.

  • If the current status is "In progress" or "Deadline missed", the system will offer one of two options:

    • Reset progress - in this case, the user's current progress will be "reset to zero", and the course will be assigned anew.

    • Save progress - in this case, the current assignment will be changed to the "Excluded" status, and within this assignment, it will be possible to see at what stage and with what result the user stopped taking the course.

    • Reset deadline - in this case, the current assignment will be saved, but the completion timeframe within it will be "reset".

  • If the current status is "Assigned", reassigning the course is impossible.

You can trigger reassignment in several ways.

  1. through the user list

  2. from a specific user's card via

  3. from the course analytics page

Method 1. Reassign a course from the user list

The actions are the same as when assigning a course to one or more users from the user list.

  • If, when assigning a course, the system identifies multiple users with different current statuses, a window will appear describing the actions regarding each user.

  • If several users have the status "In progress" or "Deadline missed" at once, you will be prompted to either select one action for all (save progress, reset progress, or reset deadline) or define this action for each user individually.

Method 2. Reassign a course to a user from their card

Reassigning from a user's card is possible either similarly to a regular course assignment or via "..." in the row with the course. Below we will consider the second option in more detail.

  1. Open the user card → the "Courses" tab.

  2. In the row of the required course, click "..." and select "Reassign course".

  3. The system will show a message depending on the user's current status (described in detail at the beginning of this article).

  4. Configure the deadline and notification — the same parameters as for a regular assignment.

  5. Click "Reassign course".

From the same "..." row, another action is available — "Remove from course": completely removes the assignment and deletes the user's progress for this course.

If the course has not been started by the user, instead of "Reassign course", you will see "Resend invitation" there.


Method 3. Reassign a course from the course analytics page

Reassigning from a user's card is possible either similarly to a regular course assignment or via "..." in the row with the user. In this case, the actions are similar to the method discussed above.


How to view statistics and test results

There are two ways depending on what exactly you need to find:

  • Analytics for a specific course — open the course → click "..." in the top right corner → select "Analytics". You will see a list of users, their completion status for each assignment, progress, and test results.

Next, to view statistics for a specific user, click the "..." icon, and then select the "eye" icon next to the user's name to see a detailed breakdown: what questions were asked, what answers were given, how many points were scored.

Moreover, statistics are displayed for each assignment of the course to the user.

  • Summary report for all courses — in the "Courses" section, click "Download report" in the top right corner. An Excel file will be downloaded with summary statistics for all courses in the account: name, type, visibility status, deadline, number of users for each completion status.
